POSITION PURPOSE

Provide confidential administrative support to the Facilities and Security Manager and Human Resources Manager.  Assist in managing and maintaining physical security policies, facility maintenance, safety programs, and security training, while also supporting HR administrative tasks, such as HR inventory management and employee recognition programs.  Act as the first point of contact for all visitors at our corporate office (WHQ), ensuring they feel welcome and valued. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

70% Facility Security and Maintenance

  • Maintain a welcoming and professional image for visitors at WHQ, ensuring they are accurately directed to the appropriate individual or department.

  • Help develop, update and maintain physical security policies for the Credit Union.

  • Coordinate with physical security vendors to update, repair and install physical security equipment.

  • Under the guidance of the Facilities and Security manager, provide consultation and direction related to physical security exposures to the Credit Union.

  • Assist in coordinating all physical security and emergency related functions for all Credit Union facilities including maintaining rapport with federal and state law enforcement agencies.

  • With the Facilities and Security Manager, conduct physical security training at new employee orientation, robbery training and branch alarm checks.

  • Participate in Safety Committee meetings on a regular basis and work to resolve issues raised by the committee in a manner consistent with Credit Union policy. Provide a safe and inviting environment for employees and members.

  • Under the direction of the Facilities Manager schedule Credit Union facilities maintenance and repairs for all CWCU locations.

  • Resolve equipment, furniture and space issues, ensuring the safety, productivity, efficiency and success of Credit Union operations.

 

30% HR Administrative Support

  • Manage the inventory and procurement of printed materials and Credit Union supplies, ensuring optimal stock levels. Conduct research and price comparisons to secure the best value while overseeing the supply ordering accounts.

  • Coordinate and manage inventory for employee business cards, name tags, anniversary and birthday cards, and logo wear.

  • Assist with onboarding preparation. Order and maintain supplies for orientation swag and other onboarding needs.

  • Process and distribute incoming and outgoing mail, including managing returned mail and address updates. Receive, log and deliver parcels,

  • Maintain and order Credit Union office supplies, ensuring cost-effectiveness and quality. Support Branch Managers and other leaders who are responsible for supplies in their departments.

  • Support event preparation, including volunteer activities and community involvement initiatives.

  • Conduct research for special assignments.

  • Assist with the coordination and monitoring, and invoicing of room rentals.

  • Maintain visitor waiting area, mailroom and supply room to ensure orderly appearance.

  • Be a visible supporter of the Credit Union’s community involvement by volunteering for events and activities that enrich the communities of the Central Willamette.

  • Performs all responsibilities in accordance with CW Values, compliance, regulatory and Information Protection requirements.

  • Attend training and comply with CWCU policies and procedures as well as applicable State and Federal regulations.

  • Performs additional duties as assigned.

 

QUALIFICATIONS

  • Excellent verbal and written communication skills to effectively communicate in the English language.

  • Strong organizational skills, including the ability to multitask and prioritize effectively.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

  • Ability to work independently and as part of a team while exercising sound judgment and discretion.

  • Ability to maintain confidentiality and present a professional image when interacting with members, coworkers, and external contacts.

  • Familiarity with security systems and HRIS platforms is desired.

  • Basic knowledge of OSHA safety regulations.

  • Prior experience in facilities or administration is preferred.

 

EDUCATION/EXPERIENCE REQUIREMENTS

  • High school graduate or GED required.

  • Strong organization skills and ability to manage multiple priorities within deadline constraints.

  • Able to manage schedule with minimal supervision and oversight.

  • Valid driver's license and automotive insurance required.
